  1. Server Based Archiving (SBA).

Archiving is now recommended by the NADA for dealers installing new dealer management systems. Unlike ADP and Reynolds and Reynolds' optional Computer Output to Laser Disc (COLD storage) archiving method, we include live Server Based Archiving as a standard feature. That is, we save all history: general ledgers, journals, schedules, F&I deals, RO's, parts and service invoices, statements, purchase orders, receipts, check registers and financial statements. Our archiving system includes the ability to selectively search, view and print all of these items on demand, directly from the application. SBA allows dealers to increase their efficiency, reduce their printing and handling costs, as well as improve customer service.

There is no reason to be concerned about server hard drive space. The installation shown below has four complete general ledgers using 27,867 files and less than four gigabytes of storage.

  2. ACS provides an entire suite of nearly 30 standard applications plus integration with off-the-shelf Windows applications.

    Here are some highlights:

    • Contact Manager: Sales follow up application that quickly and easily lets salespeople know who to follow up for the day. Includes previous comments and activity.
    • Web Credit Report: This time saving tool eliminates re-keying credit report data. Pulls customer information directly from prospect screen, and provides report in seconds. (The Credit Report fee is equal to your existing fee.)
    • CSI Survey: Powerful application creates dealer CSI telephone follow up surveys for both Sales and Service. You select the questions, and set the criteria. Includes management reports. Generates letters (or E-mail) for those that can not be reached by phone.
    • AutoVISS: VISS a GM vehicle directly from the RO or Sales screen. Single key stroke connects to Dealer World, enters user name and password, selects VISS, inputs VIN, and provides GM VISS information...all in 5 seconds or less! Available soon for Ford and Chrysler.
    • Appointment Scheduling: In addition to helping stay organized, it automatically completes RO, saving time at write up. Also prints daily schedule by advisor.
    • Customized Maintenance Reminder Letters: Application allows dealer to create either oil change reminders or full service follow up. Additionally tracks customers that do not respond and creates potential lost customer report.
    • Labor Time Guides: Included at no extra charge when available, contain convenient search and lookup capability to quickly and easily identify the correct opcode. We update electronically, no tapes or Cd's to load or return.
    • Factory Parts Master: Included and updated monthly. Again we update electronically, no tapes or Cd's to load or return.
    • Electronic Deposit: Application does NOT require all employees to participate.
    • Instant Messaging: Very handy for dealership communication. A separate application that can be accessed within any ACS screen. Includes "New Mail" Flag. Instant Messaging is a very popular feature. Does NOT require backing out of an open application to use.

Using Other Windows Products with ACS

Since moving from DOS in 1997 to a true Windows-based product, we have passed from the "bleeding edge" stage and moved clearly to the "leading edge." ACS ACCESS is an open architecture 32 bit system which allows dealers to find increased ways to incorporate advancing technology.

    • Example 1: As our Vehicle Inventory reports move seamlessly to Excel, you can use an Excel to Palm OS converter to easily hot sync a new inventory to your sales people's PDAs.
    • Example 2: For dealers that like to work with Excel, our Manufacturer's Financial Statement not only prints in Excel, but will allow you to attach a Workbook template behind the Financial Statement to create your own custom analysis.
    • Example 3: Our Prospect "Catch and Release" application allows you to capture prospect driver's license information and import it DIRECTLY into your ACS F&I system, completely eliminating the re-keying of data, saving time, and giving your F&I manager more time to sell.
    • Example 4: Digital Invoice is a powerful tool, allowing you to call up the vehicles invoice directly from the Sales and Leasing screen. With a PC fax program, you can fax the invoice directly to another dealer without having to worry about misplacing a printed invoice.
    • Example 5: You can minimize calls to your service customers by e-mailing them directly from the RO screen when their vehicle is ready for pick up. Our ACS/MS Outlook Express interface can also save you money when it comes to sending service reminders. We separate customers with e-mail from those without. At over 50 cents a reminder (for postage and stationary), the saving adds up.
    • Example 6: ACT and Goldmine. Some dealers have required being able to continue using their existing contact management software when they switch to ACS. We have import and export functions that make this possible.
    • Example 7: Want to communicate away from the dealership? We interface with pcAnywhere, allowing you, with proper passwords, to securely pull reports, check results etc., from home or at a 20 Group meeting
    • Example 8: For those dealers wanting the security of off-site storage for month end reports, all ACS reports can be saved to CD or DVD.
  3. Standard Tools and System Features.

We know Windows! Having been a 32-Bit Windows based system since 1997, we no longer have to wrestle with DOS or Unix to Windows conversion. Instead we are able to spend our programming time developing tools that help our dealers be more successful.

Our newest tool is our F&I Desking Screen. This screen is THE desking tool in the industry.

Options include the ability to compare up to four vehicles at the same time or one vehicle four different ways. It allows a manager to list up to five rebates (with notes on which rebates were used), with and with out a trade, and over/under allow on the trade. Plus the desk manager knows where they are in the deal every step of the way, as gross is displayed on the SAME screen as changes are made. The information can be printed with the option to print a customer sanitized view (no ACV or gross shown) or a manager view. This information can be saved under the customer's name or merged directly into the F&I screen. F&I manager can also use this screen to calculate four payment options showing a variety of product offerings. If you doubt the value of this tool, check with your sales managers.

    More useful tools

    • Electronic System Updates: ACS does all the system updates over the internet. We will never ask you or your employees to work a weekend or an evening updating your system.
    • Single Name: When a change is made to a customer's name, address, city etc., the changes are made automatically throughout the entire system.
    • Quick Quote Screens: The above mentioned "Desking" screen is just one of our easy to use Quick Quote screens; another is the Quick Quote Array screen that quickly calculates 12 payment options for insurance products with and with out service contracts.
    • Customizable Vehicle Inventory Report: Easily customize the information you include on your inventory report. Allows notation of the name of customer trading in vehicle, as well as certified vehicles, demos etc. Report includes vehicle option key.
    • Floor Plan Cost: Helpful reminder to sales manager when they are working a deal.
    • Service Data Mining: Excellent tool for F&I and sales department. Data mine prospects for extended warranty and sales opportunity. Create letters with ACS letter writer, or export to Excel and Word. Create contact lists, post cards, labels etc.

    • Days Supply and Min-to-Max Stocking Orders: Automatically adjusts to your parts department's usage.

    • Auto-Exit: Service advisors that go to lunch without exiting out of an RO will no longer frustrate the parts department. Auto-Exit tool automatically takes them out of the RO after a user selected period of inactivity. Note: If an RO is being viewed by someone, ACS will also advise the person trying to open the RO with "Record in Use" flag naming the User that has the RO open while giving the seond user an opportunity to view the RO.
    • Customer Value: Helpful tool for service managers trying to make policy adjustment. See exactly how many non-warranty dollars customer has spent in parts and service.

Those that are comfortable with a mouse can use the mouse; those that want to use numbers, directional arrows or tab keys to move though the system will also feel at home.
  4. Plain Paper Laser Printing

Again, printing is another cost saving benefit ACS offers dealers.

    • Printers: We recommend two different laser printers. Both print twenty pages per minute. One is for personal use, while the other has a much higher duty cycle and supports multiple trays.
    • No Port Charges: Printers can either be slaved to one PC or shared on the entire network. Either way, there are no port charges for attaching a printer to the ACS network. Note: As all printers can be shared on the network, work can be directed around the dealership based on printing needs. Dealers can also use the new networked photocopiers as printers.
    • No Click or Laser Printer Fees: Our dealers do not pay us to use their printers.
    • Annual Printer Savings: Here are two actual examples supplied by dealers:

Reynolds and Reynolds dealer - 700 RO's per month
      2001 Continuous multi-part forms (non-check) cost $13,500
2002 actual plain paper cost $1,330
      Estimated toner expense $3,981
      Annual savings $8,189

ADP Dealer - Laser - Also averages 700 RO's per month
Annual click charges $ 4,526 (plus freight)
ACS plain paper with toner $ 2,135
      Annual savings $ 2,391

In addition, the above dealers eliminated monthly support charges on their printer which saved them $250 to $600 per year per printer.
  5. Responsibility

Another reason dealers have selected ACS is that we don't use independent brokers. We think this is important. It eliminates third party confusion and responsibility problems.

We provide a specific amount of hardware and accept responsibility for it. If there is a communication problem between you and the manufacturer, we help you sort it out. Is it our system? Is it the Internet router? Is it our server? Is it the connection? Is it a PC problem? This goes beyond giving you a list of hardware to buy. That said, you are free to purchase PC's from any source you want, including ACS.

It also means sharing ideas. At our last ACS users group meeting we discussed new tools, system enhancements and shared ideas of how the dealers use the system. We also created an enhancement request list.

We listen and improve. As you reviewed the list of tools we have, I am sure a few of them really seemed like a good idea. So did we. Nearly every tool we have was requested by dealerships just like yours. And the best part is, once we create any enhancement it is available to everyone... for free. Remember all enhancements are included at no extra charge. We do not have an 8400, 8800, 9200, 9400, or 9600 generation. Dealers that signed with us in 1997 have the same up-graded system that you will be receiving.
